FAQ
Short answers are here. The steps for a new event, a new settlement, and a payout are in First split.
Where do members see what they can collect?
On the ledger dashboard for that guild. The person keeping the books opens the page they are already viewing. The address includes this guild and the game currently selected.
Copy the entire address from the browser bar and paste it into the group or a direct message. Do not assemble the address by hand. If the address later becomes a shorter guild link, sharing is still copying the address you are looking at.
After a member opens it, the character card shows Receivable, Payable, and Pending claims.
The bookkeeping steps are in First split.
Do members need an account to view the ledger dashboard?
No.
Creating an event, creating a settlement, disbursing a payout, and void, write-off, or correction all require sign-in and a guild. Viewing what someone can collect does not. Other members do not need an account first.
How to pass the address is in where members look.
What does Raid Tome do?
For guilds, game communities, and friends running MMO dungeons and party loot, Raid Tome records loot splits, pot splits, and raid or guild-activity contribution. A Discord bot posts raid listings into a channel. Splits and payouts stay on the website.
Posting a raid is in How do I post a raid?. What the bot does is in What does the Discord bot do?. The steps are in Discord bot.
Members can open a shared guild ledger dashboard link and see Receivable, Payable, and Pending claims on a character card.
How do I post a raid?
In the channel where the raid should appear, send /create-raid. You can fill it in Discord, or on the web page. Submit again later to update that same message.
The bot only posts the raid. It does not record splits. Splits, settlements, and payouts stay on the website.
When this guild has used its raid listings for the UTC week, the form keeps what you entered and shows that the quota is used up.
Inviting the bot is in Invite. Filling and posting are in create-raid. Weekly caps are in What is free, and what is paid?.
What does the Discord bot do?
It posts a raid listing into one Discord channel. Invite it from Ledger Hub, and choose one notification channel.
It does not keep the books. Creating an event, a settlement, and a payout stay on the website. The person keeping the books signs in.
The steps are in Discord bot.
When is this a good fit?
For a guild or other virtual team that splits loot over time. Members open the dashboard and see who should receive what, without asking.
- After the gear is gone, you can still look up who it was meant for, and a long book stays easy to read.
- Someone may delay collecting and forget later. Rows still waiting stay on the list, so the amounts still match.
- When many people run several raids on the same day, each raid keeps its own record and the book stays clear.
Which games can a guild use?
For MMO dungeons and party-loot games, search the game catalog when you create a guild or add a game. If the game is not listed, search Steam and add that result.
A game that is not on Steam can be a custom game: a name, a language, and an https official site. You choose that when you create a guild, or when that guild adds a game.
The Steam steps are in How do I add a game from Steam?.
How do I add a game from Steam?
Do this when you create a guild, or when that guild adds a game.
- Search the game catalog.
- If the game is not listed, choose "Can't find the game you're looking for?" to search Steam.
- Choose the Steam result. That game is then available for the guild.
What is free, and what is paid?
Recording events, settlements, and payouts is free. Opening a shared ledger dashboard is free. Inviting the Discord bot and posting raid listings are free, within the weekly caps.
Each UTC week, Free includes 10 raid listings and 10 settlements. One event roster includes 40. Pro raises those to 50 raid listings, 50 settlements, and 200 on one event roster. An add-on adds 100 to one weekly cap, and it requires Pro. Weekly raid listings and weekly settlements are purchased separately.
Character slot packs, guild vanity, a personal vanity change outside the free window, and lobby sponsor weeks are paid separately. Pages are bought through Ko-fi.
The guest event weekly pack is no longer sold. An older pack stays until its next charge and still counts toward the weekly settlement cap.
Plans are on Paid services. Crediting a guild and buying character slots are in Guild pages. Payment and refunds are in How do I pay?.
Who needs to sign in?
The person keeping the books signs in and joins the guild. Someone who only views the ledger dashboard does not. There is no practice ledger that works without an account.
Where members look, and whether viewing needs an account, are in where members look and viewing without an account.
How do an event, a settlement, and a payout differ?
They are three separate steps. New event records this run or the loot. That record is not money yet.
The full steps are in First split.
- New event: record this run or the loot. That entry is not money yet.
- New settlement: pick that event and record who is owed what. The money has not been sent.
- Disburse rewards: send the pending rows from the payout panel. The status then moves toward paid.
Does creating a settlement send the money?
No. It records who is owed what, including the total, fees, and net. Sale on the form is only the type. The money goes out when you disburse.
How to do it is in First split.
What does Sale mean?
Sale is the default type when you create a settlement. It classifies the record. It does not mean the money was collected or paid out.
What do Receivable, Payable, and Pending claims mean?
Three numbers on a character card. Receivable is what that character should receive. Payable is what that character should pay. Pending claims is how many payouts have not been sent. Creating a settlement increases these numbers. Disbursing reduces Pending claims.
How do void, write-off, and correction differ?
Start from the bottom of a settlement in ledger history.
The steps are in Corrections.
- Void: this settlement should no longer be paid, and it is closed. It drops out of settlements from the last 90 days.
- Write off: record the unpaid balance as bad debt. This is not the same as void.
- Submit correction: changing the net or the recipient characters voids the original and opens a correction. Posted history stays, and the difference is on the new settlement. An admin can edit a title or note in place.
Who can void, write off, or submit a correction?
Details are in Corrections.
- Void and correction: the owner, an admin, or the person who created the settlement.
- Write off: only the owner or an admin.
Is the ledger dashboard public?
A shared link has no sign-in wall, and the page is not listed in a public directory. Someone has to share the address they are viewing. Changing the ledger still requires sign-in.
Which languages are supported?
Traditional Chinese, Japanese, and English. The language switch opens the same page in another language.
How do I pay?
Paid features are paid through Ko-fi. This site does not handle refunds. Request a refund from Ko-fi, or refund that PayPal payment.
Plans and page credits are on Paid services. How to support a guild with pages is in Guild pages.
